What we do with the information we gather?

Whilst in our possession your data will be treated with the utmost care and stored securely.

The information (data) you provide us with will only ever be used for the following purposes…

• For internal record keeping.

• To send you information about the service(s) you have expressed an interest in

• To process your actual order

• To generate quotation and invoice documents by external service www.zoho.com

• To contact you throughout the order process to request the information (data) required to personalise your order.

• To personalise your order/personalised printed items as this is the very basis of their functionality.

• To keep you updated on your order progress and status.

 

You may choose to supply us with other personal information (data) to feature on your personalised order i.e. printed personalised items.  When comsidering what information you would like to be printed on your presonalised printed items (your order) be sure to read this entire privacy policy so you are fully informed of how your information will be managed.

Access to our computers is secured by password.  Our computers are regularly backed up to external hard drives, which along with our computers are always kept in our locked office.

Any information that has been transmitted to paper is filed and kept secure in our locked office.

Pink Sherbet Designs Limited may, from time to time, employ the services of other parties for dealing with certain processes necessary for the operation of the Website. The providers of such services do not have access to certain personal Data provided by Users of this Website.

 

Do we share personal data?

We do not share data for any purpose that is not essential to the processing of your order.  Please read the following carefully and know that by making any payment to us is confirmation that you have read and agree to this entire Privacy Policy -

Please be aware that your printed items are printed by external professional printers therefore any data you supply to be featured on your printed items will be in their possession temporarily (during the printing process)/  This is essential to the operation of our business as without our external professional printers the business could not exist.

As the printers send your printed items to us via courier your data will also be in their possession temporally, however it will be in a sealed parcel.

Our external professional printers have absolutely no interest in reading, storing  or sharing your data, however we cannot be held responsible for the security of the data you have chosen to feature on your printed items whilst your printed items are with the printers or any courier they choose to use.

We send the artwork for your printed items to our external printers by either uploading it directly to their website or via the website known as WeTransfer, which is a cloud-based computer file transfer service.

Your printed items may also be passed to our freelance colleagues who work from home to be hand-finished - for example… to have ribbon bows, embellishments and other hand-finishings applied.  Again, these external parities have no interest in reading, storing  or sharing your data, however we cannot be held responsible for the security of the data you have chosen to feature on your printed items whilst they are in their possession.

All of the above third parties are (in fact ANY third party, particularly those mentioned throughout this privacy policy is) responsible for their own General Data Protection Regulation (GDPR) Compliance, therefore we cannot be held responsible for the security of the data featured on your printed items whilst in any third party’s possession.  Again, these third parties are essential to the processing of your order so please rest assured that they are not in any way non-essential third parties in that WE ARE NOT selling or sharing your data to them for any inappropriate or law-breaking purposes.

We may have a few spare copies of your printed items printed for us to keep and to use as part of our portfolio for showing to other potential clients.  Therefore the data you choose for us to feature on your printed items may be on display to the public in our studio or any other location we may choose to display our work.  If your invitations are on display in a location where we are not present at all times we will block out your printed contact details (only contact details) using permanent marker.  In these cases your name and any other name and information featured on your printed items will still be readable to effectively show the functionality of the item to other potential customers.  We cannot be held responsible for the removal of personalised copies of your printed items from our office or any other location by a third party without us realising it.

We will photograph your printed items to share on our website and social media platforms as a way of displaying our ongoing work to the world in order to attract more business.  We will never share photographs which feature your contact details (for example telephone number, home address, email address), however your full names, guest names, event date and time and location may be visible.

We cannot guarantee the security of any data you send to us via email or text.  As mentioned earlier in this privacy policy we endeavour to do our best to protect your personal Data. However, transmission of information over the internet or via any form of digital message/media is not entirely secure and is done at your own risk.

If you are not local to us we may send you your order via Royal Mail or a delivery courier such as DPD or Parcelforce.  These companies should comply with Data Protection Act 1998 and the General Data Protection Regulation 2018 and only use your personal data to provide the service neccessary. They should not sell or re-distribute your data. They have a responsibility to us as their customers. Again, we cannot be held responsible for the security of the data you have chosen to feature on your printed items whilst they are in any courier’s possession.

Please be aware, you may receive an email/text with updates on delivery or status of your order from couriers we choose to use.

Please bear all of the above in mind when placing an order with us and supplying us with data you wish us to feature on your order/printed items.  As by making any payment to us at all you are confirming you have read our terms and conditions and this privacy policy in full and that you are fully aware of all we have documented here.

IMPORTANT: We are unable to share the identity of our external printers or freelancers so please bear this in mind when placing an order and supplying the information to feature on your order/printed items.  Concealing the identities of our external printers and freelancers is integral to the success of our business.

Other than the third parties mentioned above we will not release your data to any other third party.  Those third parties mentioned above are essential for the processing of your order, we would NEVER release your data to any other party.

 

Payment Information

As payment is most often received from the buyer by us via internet Banking we are not privy to your payment information.  If however you are owed any funds by us and supply us with your bank details for us to transfer money into your account please be aware that this is at your discretion and we can not be held responsible for this information being intercepted by any third party.

 

Changes of business ownership and control

Pink Sherbet Designs Limited may, from time to time, expand or reduce our business and this may involve the sale and/or the transfer of control of all or part of Pink Sherbet Designs Limited. Data provided by Users will, where it is relevant to any part of our business so transferred, be transferred along with that part and the new owner or newly controlling party will, under the terms of this privacy policy, be permitted to use the Data for the purposes for which it was originally supplied to us.

We may also disclose Data to a prospective purchaser of our business or any part of it.
